Retention decisions affect privacy, compliance evidence, litigation readiness, storage risk, and employee trust. Keeping everything forever can increase exposure, while deleting too soon can remove evidence needed for audits, disputes, or operational review. Buyers should evaluate whether retention controls are configurable enough for their jurisdictions, policies, record types, and system ownership model.
Evaluation checks
Review retention schedules, legal hold support, export options, deletion workflows, archival status, audit logs, permission controls, and field-level differences between active and former employees. Ask whether retention applies consistently across documents, comments, integrations, and backups. A useful product makes retention visible and manageable instead of burying it in support tickets.
