What it means
AI role permissions are access controls that determine who can enable AI features, view AI-generated outputs, approve or reject suggestions, change settings, access logs, export records, and manage data used by AI workflows. In HR software, permissions often need to vary by role, team, location, workflow, and data sensitivity.
Why buyers should care
AI permissions affect both productivity and risk. If access is too broad, sensitive candidate or employee information may be exposed or acted on by the wrong users. If access is too narrow, workflows may stall or move outside the system. Buyers should expect permissions that reflect real operating roles instead of one broad administrator setting for every AI capability.
Evaluation checks
Review role-based access controls, approval rights, audit log visibility, export permissions, prompt or input access, and admin configuration rights. Ask whether permissions can differ for drafting, reviewing, approving, and publishing AI outputs. Strong products should show who used AI, what they could access, what they approved, and which permission changes were made over time.
